THE OPPORTUNITY:
FSWC is seeking a dedicated and motivated individual to take on the role of Programs Lead and Fundraising Assistant. This position will be responsible for developing and delivering innovative, impactful programming that expands our reach across Canada and strengthens the fight against antisemitism and all forms of hate. Oversee the promotion, implementation, and evaluation of our outreach programs both virtual and in-person, ensuring alignment with FSWC’s mission
Design from concept to execution innovative programs that provide meaningful, authentic opportunities to confront hatred and intolerance
Create engaging and stimulating programs and opportunities, with a particular focus on community engagement, student engagement, and young professionals (genNOW)
Support where needed for FSWC’s marquee events, State of the Union and Spirit of Hope
Collect, record and present program statistical information and program performance indicators to share in with key stakeholders
Seek out and develop new partnership opportunities to continue the important work of the organization
Represent FSWC and network actively with stakeholders, staying abreast of the work of other organizations, government initiatives and policies, and actively participate in key events, workshops, and forums
Work with the fundraising team to bring in donations, manage the database, help with receipting and other administrative duties
KEY RESPONSIBILITIES:

Run monthly virtual webinar series and other virtual events, which involves seeking out speakers, securing event dates, managing event registration, monitoring event promotion, and facilitating the webinars.
Coordinate logistics of in-person events including venue contracts, catering, communications, event registration, promotion and implementation.
Take incoming phone calls and manage the email account to process donations, send out tribute cards, and relay messages to other staff members.
Manage the donor database by adding all new event attendees in an efficient and accurate manner.
YOU ARE SOMEONE WITH:

A knowledge and understanding of Holocaust education, the fight against hate, discrimination and antisemitism and the protection and advancement of human rights nationally and globally.
Superior relationship-building and communication skills ensuring the ability to liaise with a variety of stakeholders at all levels.

Self-motivated, able to work as a key part of a strong team, excellent attention to detail, excellent organizational skills, and ability to manage multiple, competing priorities simultaneously.

Demonstrated skills in negotiating complex service contracts with public, private and community organizations and developing business plans.
Proven ability to work creatively and analytically in a problem-solving environment demonstrating teamwork, innovation and excellence.
Strong time management skills; active user of technology; budgetary experience; and the ability to work effectively and independently under the pressure of tight timelines, competing priorities and emergent issues.
Familiarity with fundraising software is an asset.
WHAT YOU BRING:

Post-secondary education in Business Administration, Marketing, Fundraising, Human Rights, Political Science, or related.
A minimum of three (3) years of experience preferable in a nonprofit organization.
Understanding the importance of educating the public about the Holocaust and antisemitism, with the ability to effectively communicate its significance in both educational and advocacy settings.
Experience working with educators, policymakers, community leaders, or Jewish organizations is an asset.

KEY RESPONSIBILITIES


Operational Oversight: Manage the maintenance and operations of municipal infrastructure, including roads, bridges, landfills, airport, waste and recycling systems, and water and wastewater systems.

MINIMUM QUALIFICATIONS:

Post-secondary degree or diploma in the area of road construction, maintenance, engineering, civil, or environmental engineering or related.
Minimum of five (5) years increasingly responsible management experience involving infrastructure operations, with a minimum of three (3) years management and administrative experience in municipal services and utilities, including planning, design, maintenance, and construction preferably in a unionized environment.
Membership in PEO or OACETT is preferred.
Working knowledge related to the Ministry of Transportation, MMAH, TSSA, Municipal Act, MOE, MOL, OH&S, WHMIS, Safe Drinking Water Act, WSIB, Health and Safety, wastewater, fuel, electrical.
GIS and AutoCAD experience.
Certified Roads Supervisor (CRS) or ability to obtain.
CMO Accreditation or ability to obtain.
Good understanding of road construction and maintenance, ditches, bridges, drainage, storm water, and storm water management.
Competency in analyzing complex public infrastructure maintenance issues and problems, and the ability to evaluate alternative solutions and develop sound conclusions, recommendations and course(s) of action.
Good understanding of managing drinking water and wastewater systems.
Knowledge of and ability to implement Health and Safety and risk management legislation, regulations and municipal requirements pertaining to the work of the department.
Computer proficiency in related departmental software.
Outstanding interpersonal skills and the ability to deal effectively with rate payers.
Experienced in surveying (Level, Total Stations and GPS units) and AutoCAD.
Minimum valid G driver’s license.

Must be fully fluent in French language, oral and written.

The Opportunity
Our Client is seeking a Full Time (40 hours per week) Executive Assistant. Working on-site, located in Toronto, the Executive Assistant will play a pivotal role in supporting the Executive Director and ensuring the efficient operation of our charity's activities. What you will be responsible for:

Executive Director Support
Provide direct support to the Executive Director, including managing their calendar, scheduling meetings, preparing materials, and a wide variety of other tasks as instructed.

Administrative Support:
Assist with day-to-day administrative tasks, including scheduling meetings, managing calendars, and handling correspondence.

Office Management:
Oversee office supplies inventory and procurement.
Coordinate maintenance and repairs for office equipment and facilities.

Project Coordination:
Assist in the planning and organizing of projects and events, ensuring all details are meticulously managed from start to finish. Support special projects and initiatives as assigned, providing valuable assistance and contributing to their success.
Coordinate logistics, invitations, and follow-up for events.

Donor Relations:
Assist with donor outreach and communication.
Assist in organizing fundraising events and campaigns.

Board Support:
Coordinate board meetings, prepare agendas, and take minutes.
Assist with board communications and ensure timely distribution of materials.

Financial Administration:
Assist with processing invoices, expense reports, and reimbursements.
Coordinate with the finance department on financial matters.

Program Support:
Assist in organizing and coordinating program activities and initiatives.
Support program managers with administrative tasks related to program implementation.

Research and Reporting:
Conduct research on relevant topics, trends, or best practices.
Assist in preparing reports for internal and external stakeholders.

Policy and Compliance:
Assist in ensuring compliance with relevant laws, regulations, and organizational policies.
Maintain organizational records and documentation.

Task Management:
Efficiently manage various tasks ranging from coordinating travel arrangements to planning and execution of special projects.

Initiative and Adaptability:
Proactively identify areas for improvement and take the initiative to implement solutions. Adapt quickly to changes and manage priorities effectively.

Communication:
Act as a liaison between the executive team, staff, and external stakeholders, ensuring clear and timely communication.

What we’re looking for:

Post-secondary education in Executive Office Adminsitration or a related field, or equivalent education and experience.
A minimum of 3 years’ experience in an executive administrative role or similar capacity, preferably in a similar non profit environment.
Ability to thrive in a fast-paced environment and adapt to changing priorities.
Excellent interpersonal relations skills and demonstrated ability to work with others effectively at all levels of the organization.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Expert level written and verbal communication skills.
Proactive mindset with the ability to take initiative and work independently.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response.
Proficiency in Microsoft Office Suite, CRMs, and Apple devices.
Ability to work on-site, from 9:00 AM to 5:00 PM, Monday-Friday (40 hours per week).
A satisfactory Vulnerable Sector police check is required to be considered eligible for this position.
